Help for the work before the work.
Getting startedWhere should I begin?+
Open Projects and select Start a Project. Describe the facility need in plain language. Scope-to-Go will guide you through the details needed for a Prepared Scope of Work and Request for Proposal.
Getting startedDo I need every project detail before I start?+
No. Start with what you know. Unknowns stay visible so the facility manager can answer them, assign them to a contractor, or flag them for qualified specialist review.
Getting startedWhat does the Workflow Tutorial cover?+
The tutorial shows the complete path from project intake through scope preparation, contractor outreach, proposal comparison, clarification, recommendation, and approval.
WorkflowWhat is the difference between a Draft SOW and a Prepared SOW?+
The Draft SOW is still being developed. A Prepared SOW is the exact version the facility manager has reviewed and approved for use in the RFP package.
WorkflowWhy does Technical Review show findings?+
Technical Review looks for missing responsibilities, unclear requirements, operational constraints, testing, closeout needs, and bid-comparison risks. Findings support facility-manager review; they do not replace engineering, legal, code, safety, or procurement review.
WorkflowHow do contractors submit proposals?+
The RFP email includes a secure submission link. The contractor can upload the proposal without entering your organization workspace. You keep the original file and verify extracted information before comparison.
WorkflowWhy can’t I continue to the recommendation?+
Every proposal must be reviewed, required clarifications must be resolved, and contractor responses must be verified before the recommendation is prepared. The highlighted next-action card identifies the remaining step.
WorkflowWhat happens after approval is granted?+
The project moves to Active Jobs. The approved scope, selected proposal, recommendation, and approval record remain connected to the project. Mark the job complete when the work is finished.
TermsWhat is a Scope of Work (SOW)?+
A Scope of Work describes the work, responsibilities, deliverables, site conditions, standards, acceptance criteria, and closeout expectations contractors should price.
TermsWhat is a Request for Proposal (RFP)?+
An RFP combines the approved scope with proposal instructions, dates, qualifications, pricing requirements, evaluation criteria, and contractor submission details.
TermsWhat are exclusions, assumptions, alternates, allowances, and retainage?+
Exclusions are work or costs left out of a bid. Assumptions are conditions used to prepare the price. Alternates are optional work priced separately. Allowances are set amounts for costs not yet known. Retainage is payment held until satisfactory completion.
TermsWhat does best value mean?+
Best value considers verified project evidence, completeness, price, schedule, warranty, risk, and facility-manager judgment. It does not automatically mean the lowest bid.
PermissionsWhat do View, Edit, Send, and Approve permissions allow?+
View opens assigned records. Edit changes project content. Send issues contractor or approval communications. Approve records management decisions. Organization administrators control these permissions and facility assignments.
PermissionsCan a user see projects at another facility?+
Only when their organization role and facility assignment permit it. Facility restrictions and project authorization are enforced by the server, not only hidden in the interface.
PermissionsCan a contractor enter our workspace?+
No. Contractor submission links provide narrow access to the assigned upload request. They do not grant access to your organization, other projects, comparisons, or internal recommendations.
Recovery & billingWhat if a button or request fails?+
Your saved work remains in the project record. Refresh once, reopen the project, and use the next-action card to continue. If the problem remains, note the page, action, time, and any message shown before contacting support.
Recovery & billingCan I recover a removed project?+
Projects moved to Trash remain recoverable for 30 days. Open the project list, select Trash, and restore the project. Permanent deletion cannot be undone.
Recovery & billingHow do I change or cancel a subscription?+
Open Tools & settings, then Plan & billing. Use the secure billing portal to manage the plan, payment method, invoices, or cancellation. Cancellation stops renewal; retained access follows the terms shown in the portal.
Recovery & billingHow do I export or delete my data?+
Data & activity gives every plan an organization-backup download for owners and administrators. Any user can open the Account deletion page to request individual deletion, and an organization owner can request workspace closure. Portfolio adds advanced retention, legal-hold, audit, and offboarding controls.
